Secretary
The Role
• Organisation and maintenance of the partner’s agenda • Organising client meetings, conference calls, etc. • Providing administrative support and day to day operations to the Assurance Department • Filing of documents, maintenance proper filing of tax documents • Meeting and greeting visitors of the assurance department • Arranging business and personal trips of partner • Managing telephone calls and forwarding messages • Typing and editing correspondence • Re-typing texts into Word/Excel document • Preparation of the PowerPoint presentation • Assisting the team with invoices issuance, working on ipower • Taking care of timesheets • Creating expense reports • Reading, forwarding, answering urgent e-mails in case of partner’s absence • Liaison with other departments
Knowledge, Skills and Experience
• Higher education • Excellent spoken and written Azerbaijani and English essential (knowledge of Russian languages an advantage) • At least 2 years in an administrative role and a minimum 1years’ experience in a similar role (Personal Assistant, Assistant to top management, Independent administrative role, etc.) • Very good typing skills • PC skills: MS Office (PowerPoint, Excel and Word are a must) • Good knowledge of business correspondence • Positive approach towards administration standards • Willingness to learn and develop technical and soft skills • Ability to share and collaborate with colleagues • Strong communication and organisation skills • Creativity and initiative approach • 'Can do' attitude to work • Good time-management, stress resistance and flexibility • Assertive and flexible individual • Ability to work independently • Desire working long term on this position
