Job Title: Office administrator Assistant
Location Hi-Force Baku, Azerbaijan
Reports to Sales Engineer

1. Job Purpose  

To assist office administrator in Hi-Force Caspian office  with day to day administrative requirements.

2. Key Result Areas/Principal Responsibilities 

- To handle and respond efficiently to any email or telephone sales enquiries received by the office. 
- Prepare any sales quotations made for clients.
- Assist in processing and entering the incoming sales orders in the company’s system accurately. 
- Maintain good customer relationships by acting as an extension of the field sales force.
- Ensure effective filing and administrative system to support the office.
- Assist any walk in customers effectively and professionally.
- Ensure that all pending quotations and requirements are organized efficiently and remind sales engineers to follow up as required
- Prepare test certificates/calibration certificates/shipping documents for delivery of goods to our customers/distributors around and/or outside the region. 
- Liaise with shipping companies to ensure timely collection of shipments.
- Arrange and organize sales meeting between sales engineers and customer as needed.
- Support Sales Engineers/Manager with own quotations when out in market.
- Maintain understanding of our products and services.  
- Ensure all after sales administration tasks are carried out effectively and efficiently.
- Carry out any other duties deemed suitable by the Company.
- Complies with all company rules including all Health, Safety, Quality and Environmental requirements. 

3. Knowledge, skills, qualifications, experience  and personal attributes required

- Good standard of education required.
- Previous experience of office administration.
- Must have excellent communications skills and a good command of written and oral English.
- Advanced skills in Microsoft Office programs such as Word, Excel, PowerPoint and Outlook.
- Service-oriented, Attention-to-detail, capable of working to deadlines under pressure. 
- Presentable, self-motivated and a team-player.
- Must have a professional and pro-active approach to customer service.
- Able to work without constant supervision and organize self and workload appropriately to meet the required standards.
