Personal Assistant to CFO/Board Member
Experience and Qualifications Required:
• Bachelor’s degree or equivalent in Humanitarian fields; • At least 1 year of administrative/personal assistant experience; • Excellent oral and written communication skills in English, Russian and Turkish; • Detail-oriented and highly-organized person; • Poised and able to manage under stress and minimal supervision; • Must possess the utmost level of integrity and the ability to handle confidential information; • Strong project management, communication skills are a must; • Ability to multitask and prioritize daily workload; • Exceptional interpersonal skills, intuitive, and resourceful with excellent problem-solving ability; • Advanced knowledge of the Microsoft Office Programs.
Responsibilities:
• Act as the point of contact between Director and internal/external clients; • Screen and direct phone calls/e-mails/mails and distribute correspondence; • Handle requests and queries appropriately; • Meet and greet visitors at all levels of seniority; • Organize and attend meetings and ensure the Director is well prepared for meetings; whenever is appropriate; taking action points and writing minutes; • Manage diary of Director and schedule meetings and appointments; • Make travel arrangements (both business and private) and prepare complex travel itineraries; • Draft correspondence and other documents; • Manage and review filing and office systems; • Sourcing and ordering stationary and office equipment; • Produce reports, presentations and briefs.
