Tendering Assistant


• Assisting to Tendering Lead.
• Receive, review and log client inquires. Prepare outgoing inquires to suppliers, expediting inquiries.
• Creating  quotation  in  Movex/Syteline  and  quote  to  the  customer  as  per  Sales  &  Tendering procedure, and work in other ERP systems of the customers when required.
• Accept PO ,create CO and WO lines
• Manage Movex/Syteline work orders, open and closing.
• Search for suppliers and obtain suppliers quotations
• Preparing cost sheets for all jobs.
• Job costing: XX-Parts, royalties, planned vs actual job cost.
• Prepare delivery Notes, Receipts, Shipping Documents, etc for international shipping
• 3rd party service order management
• Maintain delivery notes log and input in ERP System
• Expediting customers and suppliers orders, liaison between tendering and purchasing department
• Arranging shipping of the orders  with freight forwarders, upload shipping documents into the BP shipping portal (Geodis)
• updating Order book on daily basis
• Prepare OTD report every week for finance department.
• Liaise with finance on closed jobs for invoicing
• Update Monthly KPI to Tendering Lead
• Prepare reports and other statistic docs for management and customers from time to time
• Be  the  main  focal  point  of  Company  towards  assigned  oil companies, for inquiries, POs and job status.
• Develop a positive work relationship with customer key people in Procurement of oil companies.
• Customer Feedback and satisfaction
• Send acknowledgment emails to all communication received from customers, with committed answer date.
• Responsible for entering and updating data in update ERP system ( CRM, MOVEX) system
• Prepares daily, weekly, monthly and quarterly reports as required ( Win and Lost report; Quote Prepared status, Upcoming Opportunities etc.)

Education and/or Experience:

University degree, preferably in Economy or Mechanical Engineering, with minimum six months' related experience and/or training; or equivalent combination of education and experience.

Product Knowledge:

Oil & Gas industry experience would be an advantage

Computer Skills:

To perform this job successfully, an individual should have knowledge of Movex, Maximo, Ariba, MS Office (Word and Excel), Internet. Geodis, CRM

Language Skills:

Ability to read and interpret documents such as inquires, quotations, purchase orders, order acknowledgements, invoices, packing list, Certificates (CoC etc), shipping documents, safety rules, operating and maintenance instructions, and procedure manuals. Ability to write inquires, quotations, emails of business nature common to this role, understanding of Incoterms and correspondence. Ability to speak effectively with customers, suppliers or employees of organization.

Salary: 1000 AZN Net
