Job title: Head of Administration

Location: Baku, Azerbaijan

Our requirements:

• Bachelor’s degree;
• 3-4 years of experience in administration field;
• In-depth understanding of office management procedures;
• An analytical mind with problem-solving skills;
• Excellent organizational and multitasking abilities;
• Excellent verbal and written communication skills;
• A team player with leadership skills;
• Fluency in Russian and Azerbaijani. English is desirable.
• Excellent computer skills
• Good organizational and administrative skills.

Key accountabilities:

• Plan and coordinate administrative procedures and systems and devise ways to streamline processes;
• Implement office administration policies as required;
• Recruit and train personnel and allocate responsibilities;
• Assess staff performance and provide coaching and guidance to ensure maximum efficiency;
• Control front office activities and ensure adherence to the Customer Care requirements and standards;
• Coordinate the administrative services support team in providing/maintaining reception services, office support functions (housekeeping, repairs, supplies inventory and maintenance, mail services, etc.), travel bookings, internal meeting support, back and front office management, in-door and out-door activities, etc.;
• Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints;
• Monitor costs and expenses to assist in budget preparation;
• Oversee facilities services, maintenance activities and tradespersons;
• Organize and supervise other office activities (recycling, renovations, event planning etc.)
