Job Title: Administrative specialist

Main responsibilities:

Include, but are not limited to the following:

• To plan, organize, and administer the activities on the site efficiently
• To assist site management with administrative duties such as data entry/reporting, correspondence, managing the site calendar, managing project specific employee timekeeping, and procurement
• To ensure that the necessary materials are delivered to the work site to dealing with paperwork and budgeting appropriately for each project
• To assist with requesting and updating employee site access including security badges (where applicable)
• To handle the clerical and logistical duties associated with projects
• To collaborate with different departments to run projects smoothly .This involves tasks such as issuing technical plans and instructions or conducting on-site inspections
• To act proactively to ensure travel arrangements and accompanying paperwork for travelling employees are completed in a timely manner
• Planning, budgeting, and coordination of projects, as well as the necessary administrative duties
• To track stocks of office supplies and place orders when necessary
• Produce documents and reports as requested by operational leaders
• To submit timely reports and prepare presentations/proposals as assigned.
• To assist colleagues whenever necessary.
• To assists and coordinate with HR Department with new hire onboarding at project site location and provide assistance if needed
• To perform other duties as assigned by immediate supervisor or upper management

Education/experience & Qualification:

• Higher education (Bachelor degree) or high school diploma as well as equivalent certificate in relevant field
• Fluent in Azerbaijani language and basic English language knowledge
• Minimum 3 years’ experience in transportation management
• Excellent organizational and time management skills
• Good knowledge of MS Office programs
• Excellent verbal and written communication skills
• Knowledge in transport and should have concept about Auto-techniques
• Ability to multi-task and prioritize work in a fast-paced environment
• Ability to work both independently and in a team-oriented, collaborative environment
• Attentive to details
